As the owner of Wicked Good Lawn Care, I wear many hats: from being a full-time technician to managing marketing, finances, and more. It can be overwhelming, but with the right strategies and tools, it’s possible to make every minute count. Here’s a glimpse into how I manage my busy schedule and keep everything running smoothly. ( I think its smooth, lol)


Embracing Technology and Using Modern Tools

One of the first changes I made to manage my time effectively was incorporating technology into my workflow. QuickBooks has been a lifesaver for handling finances. I remember the days of manually tracking expenses and struggling with spreadsheets. It was time-consuming and prone to errors. QuickBooks revolutionized this process by automating many of the tasks that used to take up a significant portion of my day.

With its easy-to-use interface, I can track expenses, generate invoices, and review financial reports in just a few clicks. It’s like having a personal accountant that fits right into my pocket, allowing me to focus more on what I love—providing top-notch lawn care services.


LawnBuddy is another tool that’s become an integral part of my daily routine. Before using LawnBuddy, scheduling and managing lawn care projects and clients schedules felt like juggling a dozen balls in the air. I used to keep track of appointments with a mix of handwritten notes and disjointed digital reminders. This method often led to missed appointments and disorganized communication with clients. It’s incredibly satisfying to see everything in one place, from job statuses to client feedback.

This technology not only saves time but also enhances the quality of my marketing efforts.


The Classic Touch with Pen and Paper

While technology offers incredible efficiency, there’s something timeless about pen and paper that still plays a crucial role in my planning process. I often find myself sketching out ideas, brainstorming, or simply jotting down thoughts in a notebook. I have a notebook and pen in every truck. There’s a certain clarity that comes from writing things down by hand. It allows me to think deeply about strategies, plan projects, and reflect on goals without the distractions of digital screens.


One of my favorite routines is setting aside time each week to sit down with my notebook and plan out my tasks. I might outline upcoming projects, jot down creative ideas for marketing, or draft a blog post. In fact this is how this blog post was created, from a Sharpie s-gel .07 pen and notebook. This hands-on approach helps me organize my thoughts and develop a clear vision for the week ahead. It’s a break from the digital noise and a way to stay grounded in the bigger picture.


Balancing Act

The real challenge is integrating these tools and techniques into a cohesive system that works for me. It’s not just about having the right tools; it’s about knowing how to use them effectively and finding a balance between technology and traditional methods.


For example, I use QuickBooks to handle financial tasks, but I also keep a physical ledger for important notes and reminders. LawnBuddy handles scheduling, but I still use a paper calendar to keep track of long-term goals and deadlines. AI helps with marketing, but I regularly review my strategies with a handwritten checklist to ensure I’m staying on track.


Finding this balance was a process of trial and error. I experimented with different tools, adjusted workflows, and learned what works best for my unique situation. Over time, I developed a system that allows me to stay organized and efficient while still maintaining a personal touch in my planning. I still review and revise frequently, that's just the way it is sometimes.

My schedule can change on a dime, and I need to be adaptable. Technology helps manage these fluctuations, but it’s also essential to remain flexible in my approach.

Having a flexible system in place—where technology and traditional methods complement each other—allows me to respond effectively to these changes. It’s about being prepared and adaptable, rather than sticking rigidly to a plan.


Managing a lawn care business while juggling multiple roles is no small feat. However, by embracing technology, maintaining classic practices, and finding a balance that works for me, I’ve been able to make most of every minute count. QuickBooks, LawnBuddy, AI, and pen and paper all play a vital role in my time management strategy. Each tool and technique contributes to a system that helps me stay organized, focused, and efficient.


The key is to continuously evaluate and refine your approach, remain flexible, and be open to integrating new tools and methods as needed. By doing so, you can successfully manage the demands of your business and ensure that you’re making the most of every minute.
